What is key control software?2026-10-12T14:38:59+01:00

Key control software helps businesses and organisations manage and monitor their physical keys, either independently or in conjunction with a key management cabinet.

TekSek’s key and asset management software enables you to track key-related events, generate reports, monitor user activity and maintain greater control over access to your keys and assets.

What are the benefits of using key control software?2026-10-12T14:39:03+01:00

Key control software offers several benefits for businesses and organisations, including:

  • Improved security:
Helps prevent unauthorised access to keys through access permissions and automated controls.
  • Greater accountability:
Records who has access to specific keys and tracks key usage, making audits and investigations easier.
  • Increased efficiency:
Reduces the time and effort required to manage keys manually, maintain records and locate or return keys.

By automating key management processes, the software helps streamline operations while improving visibility and control.

How do key control systems compare with traditional key management methods?2026-10-12T14:39:07+01:00

Key control systems provide a modern alternative to traditional key management methods, such as paper-based records and conventional key cabinets.

Traditional methods can be time-consuming, inefficient and difficult to monitor. Key control software helps simplify key management by automating access permissions, recording key usage and providing clear audit trails.

The result is improved security, greater accountability and more efficient day-to-day operations.

How many keys can a smart key cabinet manage?2026-10-12T14:39:11+01:00

The capacity depends on the model. Most systems can manage up to 200 keys or key sets per cabinet. Please contact us to discuss the available options for your requirements.

What happens if there is a power failure?2026-10-12T14:39:15+01:00

In an emergency, keys can be retrieved using the mechanical key override, where supported by the system. An external uninterruptible power supply (UPS) can also be used to help maintain system operation during a power interruption.

Our cloud-based key control software also supports simultaneous data backups on secure servers, helping protect stored information.

What happens if the network connection fails?2026-10-12T14:39:21+01:00

If the network connection is interrupted, the system automatically updates its local cache with data from the server. Users can continue accessing keys for which they were authorised before the system went offline.

This helps maintain access to authorised keys during temporary network disruptions.

Can I use our existing RFID staff cards to access the system?2026-10-12T14:39:26+01:00

Yes, our key cabinets can be equipped with RFID readers that support common card formats, including 125 kHz cards. Specialised readers may also be available, depending on your requirements.

Please contact us to confirm compatibility with your existing staff cards.

Can I integrate my existing card reader?2026-10-12T14:39:30+01:00

Our standard systems do not support this option as a standard feature. However, alternative solutions may be available.

Please contact us to discuss your requirements, and we will help you identify the most suitable configuration.

Can your systems integrate with existing systems, such as access control or ERP software?2026-10-12T14:39:36+01:00

Yes, integration with existing systems, including access control systems and enterprise resource planning (ERP) software, may be possible. Please contact us to discuss your technical requirements and confirm compatibility.

Can the software platform be deployed on the client’s server?2026-10-12T14:39:43+01:00

Yes, an on-premises deployment option may be available. Please contact us to discuss your hosting requirements and confirm the most suitable software configuration.

Can the system be used outdoors?2026-10-12T14:39:55+01:00

Outdoor use is not recommended. If outdoor installation is necessary, the system must be adequately protected from rain and other environmental conditions and installed within an area covered by 24-hour, seven-day monitoring.

Please consult our team before installing a system outdoors to ensure the proposed installation is suitable.

How do I know where to return a key?2026-10-12T14:40:26+01:00

Illuminated key slots indicate the correct location for returning keys, helping users identify the appropriate slot quickly and easily.

What happens if I return a key to the wrong slot?2026-10-12T14:40:31+01:00

If a key is returned to the wrong position, the system triggers an audible alarm and prevents the cabinet door from closing, where supported by the system configuration. This helps ensure that keys are returned to their designated locations.
